Collect data for your engagement

This feature is only available with products on the CaseWareCloud SE platform. Available SE products include OnPoint PCR and CaseWare ReviewCompTax.

Once the client has returned the signed engagement letter and the terms of the engagement have been finalized, you are ready to add the client's financial data to the engagement file.

Request the client's trial balance

You can submit a client request directly to the client, asking them to attach a file that includes the trial balance data for their engagement.

To add a client request to the engagement file:

  1. From the top menu, select Documents.

  2. Select the Add Document icon (), then select Query.

  3. Select a query type, and enter a name.

  4. Note: Available query types will differ depending on your Smart Engagement product.

  5. Select Create Query.

A new client request is added to your engagement file in your chosen folder. Some online engagement products have templates that include a trial balance request.

Once the client request is ready, you can send the client request to your client.

To send a client request:

  1. Open a client request.

  2. Select SEND.

  3. The Open Query dialog displays.

  4. Select a due date for the client response in the Query Due Date field.

  5. Select a client contact from the Assignees drop down list.

  6. You can select more than one contact or select the Assign to all contacts check box to send the request to all client contacts.

  7. Add a message in the Email Body text box to be included in the notification email.

  8. Select OK to send the client request.

The client will attach the requested trial balance file and mark the request as responded. You can review the attachment, and if the trial balance file has all of the expected information, you can accept the response and complete the query.

Import the trial balance

Once you have your client's trial balance file, you can import it into the online engagement. By importing the trial balance, the client's financial data is automatically incorporated into the financial statements and into the analysis sections of other documents.

To import client data from Excel/CSV:

  1. From the top menu, select Trial Balance.

  2. On the trial balance page, choose a trial balance grouping structure from the drop-down menu at the top of the page.

  3. Under Import from, select Excel or CSV. In the upload dialog, drag and drop an Excel file or a CSV file into the gray upload area, browse for the file on your local device storage or select the file from the engagement if you have already uploaded it.

  4. Map the columns in the import file by choosing the field that best matches the data from the Import as drop-down menu. If you don’t want to import a column, select Do not import to exclude it.

  5. Select Import.

Your imported data populates the trial balance.

Assign accounts to groupings

When you import the trial balance file from your client, the online engagement will automatically map as many of the accounts as possible to appropriate groups in the trial balance. However, if an account cannot be automatically mapped, you will need to assign it manually.

To assign an account to a grouping:

  1. From the top menu, select Trial Balance.

  2. Select the grouping menu and choose one of the available grouping structures.

  3. Select the Assign accounts icon.

  4. Select the account from the Unassigned column. Selecting the account moves it to the Selected Account column, and it may suggest a grouping automatically.

  5. Select a group to assign the selected account to that group.

The account is now assigned, and it will be included in your trial balance and in other documents in the online engagement.

Define materiality

While working on some engagements, you may need to consider material amounts for misstatements in the client file. Some online engagement products include a materiality document that can help you assess materiality as you work on the engagement.

To complete the materiality form:

  1. From the top menu, select Documents.

  2. Select the Materiality document.

  3. In the Principal Users of the Financial Statements section, enter the principal users and any factors to consider. You can select + Add row to add more principal users to the document.

  4. In the Overall materiality section, enter one or more factors to determine materiality. You can add two basis types:

    1. Financial materiality basis - select a group from the trial balance and enter a benchmark percentage.

    2. Other basis - enter a custom basis description and amount, and enter a benchmark percentage.

  5. In the Performance Materiality section, enter a benchmark percentage to be applied to overall planning materiality.

  6. In the Trivial misstatement section, enter a maximum amount for trivial misstatements.

  7. In the Materiality for circumstances section, enter one or more materiality factors for circumstances.

  8. In the Performance materiality for specific circumstances section, enter one or more materiality factors for specific circumstances.

  9. At the top of the Materiality document, select the Sign Off button and then sign off the Prepare role.

You have added definitions for materiality to the online engagement. The materiality values are displayed in the top menu, and if you enable materiality indicators on the trial balance, accounts and groups will have a visual indicator if they are material.
