Transition guide—DocuFlex 2026.1.0 template

With the Winter 2026 release, Caseware DocuFlex introduces a new template designed to align with Caseware’s broader platform standards. This guide will help you decide when and how to transition, understand what’s changed, and ensure a smooth experience for your team.

Your transition options

You now have two template versions to choose from when creating or carrying forward an engagement:

Why adopt the 2026.1.0 template?

The 2026.1.0 template introduces:

  • Expanded industry-specific financial groupings

  • A standardized structure across Caseware platforms (OnPoint Audit, OnPoint PCR, Taxflow,)

  • Updated workflows with a critical update to the trial balance import functionality and improved integration

All future content updates and enhancements will be available only in the 2026.1.0 template.

Note: If you use the legacy taxonomy in a recurring DocuFlex engagement, you lose this mapping structure when you carry the engagement forward. Regroup the trial balance accounts to the new taxonomy for any new engagements created from the 2026.1.0 template.

Warning: Customizations made to the Balance Sheet, Income Statement or Statement of Activities in your current FS-1 Financial Statements will not carry over to the 2026.1.0 template. Document any critical changes before proceeding with 2026.1.0.

Before you transition to the 2026.1.0 template

Ask yourself:

  • Do you need the new industry-specific financial groupings?

  • Are you ready to reapply your financial statement customizations?

If not, you may delay the transition and continue using the 2025 template.

How to transition to the new 2026.1.0 template?

When you're ready to begin using the new template, follow these steps to create or carry forward an engagement using the 2026.1.0 version.

Note: Existing DocuFlex engagements will not be affected or modified by the Caseware DocuFlex 2026.1.0 release.

If you are carrying forward an engagement If you are creating an engagement
  1. Finalize the prior engagement

    • Complete and review all procedures. Note: Any custom procedures added by firm authors will not be carried forward.

    • Lock down the engagement if required by your firm's policy.

  2. Clean up the trial balance

    • Remove unused accounts or mappings.

    • Confirm that account groupings are accurate and up to date.

  3. Document customizations

    • Export or note any financial statement customizations (for example, in FS-1) that you want to reapply in the new template.

  4. Back up key data

    • Download a reference copy of the engagement if needed for audit trail or archival purposes.

  5. From the Entity page, click the engagement name to open the engagement dialog.

  6. From the More actions (...) menu, select Create Next Period's File. Complete the Caseware DocuFlex dialog as required. Refer to Complete the DocuFlex dialog.

From the Cloud menu (), select Caseware DocuFlex.

Complete the DocuFlex dialog

  1. While in the Caseware DocuFlex dialog, choose your client Entity by clicking the quick search icon ().

  2. Enter a name for the engagement file and specify the year of the engagement.

    You can also:

    • carry forward data from an existing engagement by selecting theCarry forward data from dropdown. See Carry forward an engagement for more information.

    • copy an existing engagement from another entity by selecting Entity for source engagement and Source engagement.

    • select a Start Date and End Date for your engagement, enter budget information and add a description.

  3. In Template version, select 2026.1.0 (Winter with new industry financial groupings).

  1. In the Preparer field, enter your name and select all staff assigned to the engagement from the dropdown.

  2. In the Reviewer field, enter other staff members' names as required. Select them from the list to assign them as a reviewer.

  3. Select Save.

The engagement file automatically opens in your browser.

Complete the required procedures before updating financial groups

To successfully import a trial balance into your engagement, you must follow the workflow outlined below.

To ensure your financial groupings reflect the correct industry setup, complete these three procedures in the following order:

Once all three procedures are complete:

While still on the 1-100 Engagement Set Up document, under the Trial Balance Import section, click Update Financial Groups.

Warning:

  • Do not click the Update Financial Groups button until all three procedures have been answered. See Complete the required procedures before updating financial groups.

  • Do not leave the page while the update is processing.

  • If you need to revise any of the three responses after clicking the button, you’ll need to start a new engagement file to ensure consistency.

FAQs

Q: Must I migrate now?

A: No. You can continue using the 2025 template and migrate when it suits your firm’s needs.

Q: What if I use the wrong template version?

A: You may encounter compatibility issues or missing features. Always verify the version before starting.

Q: Can I revert to 2025 after starting with 2026.1.0?

A: No. Once you begin with the 2026.1.0 template, reverting is not supported.

Q: What if I press the Update Financial Groups button too early?

A: You may need to start a new engagement to ensure correct financial groupings.
